Overview
Outbound self-billing e-invoicing, introduced in ZoneCapture 2.22.2, enables a buyer subsidiary to generate and dispatch compliant electronic invoices on behalf of an eligible vendor. ZoneCapture transmits the invoices through the PEPPOL network and connected access point providers, such as Ecosio.
Standards and party roles
- Specification standard: Peppol BIS Billing 3.0 / UBL 2.1
- Invoice type code:
389(Self-billed invoice) - AccountingSupplierParty: Maps to the vendor, the supplier on whose behalf the invoice is issued.
- AccountingCustomerParty: Maps to the subsidiary, the buyer that creates and transmits the self-billed invoice.
Prerequisites
Feature activation
- Confirm that your account has an active Ecosio-connected configuration.
Vendor master data setup
Configure the following fields on the ZoneCapture > E-Documents sublist of each Vendor record that participates in self-billing:
- Select the ZC Self-Billing Enabled checkbox to flag the vendor as eligible for self-billing.
- Enter the vendor's electronic address identifier (for example, SIRET or Peppol ID) in the E-Invoice Endpoint ID field (
custentity_erpff_p2p_party_endpoint_id). - Enter the applicable identifier scheme (for example,
0009for SIRET or0088) in the E-Invoice Endpoint Scheme field (custentity_erpff_p2p_party_endp_scheme). - Verify that the vendor's VAT or Tax Registration Number is complete and valid in the Tax ID and Tax Scheme fields.
Verify that the vendor email and phone number fields in the Email | Phone | Address section are populated.
Subsidiary setup
Navigate to ZoneCapture Subsidiary Setup > E-Documents and confirm that the transacting subsidiary has complete legal and tax configurations:
- Party endpoint ID and scheme
- Tax Registration Number
- Mandatory registered legal address details
Configuration and saved search mappings
ZoneCapture uses dedicated saved searches to transform NetSuite Vendor Bill records into standard self-billing UBL/XML.
| Saved search | Search ID | Key configuration and mapping rules |
|---|---|---|
| Transaction Main Line | customsearch_zc_einvoice_txn_mainline_sb |
|
| Transaction Item Line | customsearch_zc_einvoice_txn_itemline_sb |
|
| Vendor Details (Supplier) | customsearch_zc_einvoice_vendor | Extracts the vendor endpoint ID, scheme prefix, company name, and Tax ID into AccountingSupplierParty. |
| Subsidiary Details (Customer) | customsearch_zc_einvoice_supplier_sb | Maps subsidiary entity details, payment penalties, and contacts into AccountingCustomerParty. |
Sending and transmitting a self-billed e-invoice
- Create a standard Vendor Bill for an eligible vendor with ZC Self-Billing Enabled selected, and advance it to Approved status.
- Click Send E-Document in the Vendor Bill header. The button label changes to Sending in progress.
- Wait for the backend Map/Reduce script to compile the UBL XML using the self-billing saved searches, attach the generated NetSuite PDF (if configured), and submit the payload to the Ecosio API.
- Confirm completion. The button changes to Resend E-Document.
ZoneCapture automatically creates a Send Document Attempt record and attaches it to the transaction. The record captures the provider (Ecosio), the external Message ID, and the status (SENT or FAILED).
Monitoring, logging, and archiving
Zone Control Center
Navigate to Zone Control Center > Sent E-invoices to track outbound self-billed invoices across all subsidiaries.
Transaction subtabs
Open the Vendor Bill and review the Sent E-documents Attempts and E-invoice API Notifications subtabs to inspect transmission logs and delivery receipts.
Audit and archiving
NetSuite archives generated e-invoice files (XML, UBL, and Factur-X) and transmission receipts in the File Cabinet for regulatory compliance.
