Source bank accounts vs. global bank accounts
Zone AP Payments supports direct connectivity with your organization's own bank accounts (Source Bank Accounts). Unlike TransferMate Global Bank Accounts, which are virtual multi-currency accounts that require pre-funding or topping up before you process payments, Source Bank Accounts let you execute vendor payments directly from your own bank account using supported payment rails.
| Feature / behavior | Source Bank Account (Direct Connectivity) | Global Bank Account (Virtual Account) |
|---|---|---|
| Funding model | Pays out directly from your own bank account. No pre-funding required. | Requires manual pre-funding or topping up before payment execution. |
| Bank details entry | You enter the details manually to match the account registered with TransferMate. | TransferMate generates and populates the details automatically on creation. |
| Record editing | Bank details lock once confirmed. Only the Name field remains editable. | Generated details remain static and uneditable. |
| Supported rails | Wire Transfer, Reverse Wire, and Direct Debit / ACH (based on your onboarding). | TransferMate standard global payment network. |
| Default rail | Configurable (for example, Reverse Wire, Direct Debit, or Wire Transfer). | Standard global payment execution. |
Prerequisites
Complete the following before you create a Source Bank Account in NetSuite:
1. Complete TransferMate onboarding and direct connectivity
Confirm that TransferMate has registered and verified your corporate bank account, and that you have executed all required Direct Debit and Reverse Wire mandates.
2. Set up a corresponding General Ledger bank account in NetSuite
Confirm that a corresponding General Ledger (GL) bank account exists in NetSuite for balance tracking and bank reconciliation. If one does not exist, create it:
- Navigate to Setup > Accounting > Chart of Accounts.
- Click New.
- Set Account Type to Bank.
- Enter the account details, using a currency that matches your bank account.
- Click Save.
Step 1: Create an AP Payment Bank Account record
- Navigate to AP Payment > Setup > AP Payment Bank Account > New.
- Complete the primary configuration fields described in the table below.
| Field | Description |
|---|---|
| Name | Enter a clear, meaningful name for the bank account (for example, UK GBP Account - Source RW and DD). This name displays on payment batches and vendor bills as the Pay From source. |
| Subsidiary | Select the subsidiary associated with this bank account. Only subsidiaries linked to an active AP Payment Connection are available. |
| Currency | Select the operating currency of your bank account. |
| Corresponding GL Account | Select the GL bank account you created in the prerequisites. |
| Is Source Bank Account | Select the Is Source Bank Account checkbox. This notifies both NetSuite and TransferMate that this is your own source bank account, which activates direct connectivity instead of generating a virtual Global Bank Account. |
Step 2: Enter your bank details
Zone AP Payments does not auto-generate bank details for customer-owned source bank accounts. Enter your registered banking information as follows:
- In the same record, scroll down and click the Bank Details subtab.
- Enter the following fields, matching your registration with TransferMate:
- Bank Name: Enter the exact legal bank name that TransferMate has activated and registered.
- Account Number / IBAN: Enter your domestic account number or International Bank Account Number (IBAN).
- Sort Code / Transit Code / Routing Number: Enter the clearing identifier for your country or region (for example, Sort Code in the UK, Transit Code in Canada, or Routing Number in the US).
- BIC / SWIFT: Enter the BIC/SWIFT code of the financial institution.
Important: The Bank Name must exactly match the legal bank name registered and activated with TransferMate. A mismatch can prevent verification.
Step 3: Save and verify the account
- Click Save. NetSuite sends a direct API request to TransferMate to activate the link to your bank account.
- Wait for TransferMate to verify the record. After verification, NetSuite populates the ID and User Bank ID fields.
- Click the Audit Trail subtab and confirm the log entry
API Request - Creating Source Bank accountwith response code200.
Important: Once TransferMate confirms the account, the core banking details (Account Number, IBAN, BIC / SWIFT, and Sort Code / Transit Code) become permanently read-only to prevent unauthorized changes. Only the Name field remains editable for internal labeling adjustments.
Step 4: Configure supported payment rails and the default rail
Review initial rail availability
When you first create a Source Bank Account, Wire Transfer is the only enabled payment method, and the Default Rail field is set to Wire Transfer.
Activate Reverse Wire and Direct Debit
If you completed Direct Debit or Reverse Wire mandates during TransferMate onboarding, TransferMate receives an email notification when you create the source bank account and activates the additional rails. After TransferMate confirms rail activation:
- Open the AP Payment Bank Account record in NetSuite.
- Click Edit.
- Click Save without changing any fields. NetSuite syncs with TransferMate and updates the Supported Payments field (for example, Direct Debit, Wire Transfer, and Reverse Wire).
- Click the Audit Trail subtab and confirm the log entry
API Request - Loading Source Bank account payment types.
Set the default rail
- Open the AP Payment Bank Account record and click Edit.
- In the Default Rail pick-list, select your preferred primary payment method (for example, Reverse Wire or Direct Debit).
- Click Save.
💡 Tip: When users process vendor bills with this Source Bank Account, either as ad-hoc individual payments or in payment batches, NetSuite automatically pre-populates the Default Rail. Users can still change the rail on the payment processing record if a specific transaction requires a different method.
Troubleshooting and FAQs
Why can't I edit the Account Number or IBAN after saving?
Once TransferMate validates the account and assigns a Bank ID, all core banking identifiers lock for compliance and fraud prevention. If you entered the banking details incorrectly, create a new AP Payment Bank Account record or contact Zone Support.
Why don't Reverse Wire and Direct Debit appear immediately?
Direct Debit and Reverse Wire require signed banking mandates with TransferMate. Once TransferMate confirms mandate activation, click Edit and then Save on the record in NetSuite to refresh the supported payment types.
Do I need to fund this account before making a payment?
No. Source Bank Accounts pull funds directly from your financial institution through the selected payment rail when you process transactions. Only TransferMate Global Bank Accounts require pre-funded holding balances.
