The ZoneCapture E-Document Station configures e-invoicing (E-Document) connectivity for Production, Sandbox, and Release Preview environments, letting you send and receive E-Documents through Basware or Ecosio.
Note: Clicking on the images within this guide will enlarge them for better viewing.
Overview
ZoneCapture supports the sending and receiving of E-Documents (e-invoicing). An implementation consultant typically sets up the E-Document Station, but you can complete the setup yourself when needed.
To set up a Basware E-Document Station, request connection credentials by creating a support case. Navigate to Raise a Support Case for instructions.
The ZoneCapture E-Document Station record supports 3 environments:
- Production
- Sandbox
- Release Preview
Important: ZoneCapture does not set up a Release Preview connection by default. Request this connection as a one-time effort if you need it.
Creating an E-Document Station
The E-Document Station record is the central configuration for e-invoicing connectivity in ZoneCapture.
- Navigate to Setup > ZoneCapture Setup > E-Document Stations > New.
The sections below explain each setting by subtab.
General settings
- Name: Enter a clear, specific name that identifies the station's purpose. Include the region in the naming convention where helpful (for example, "Ecosio Netherlands E-Invoices").
- API Provider: Select the e-invoicing provider for this station: Basware or Ecosio. The fields shown further down the record change based on your selection.
- Inactive: Select this checkbox to deactivate the E-Document Station configuration record so the SuiteApp stops using its data. Confirm that no Main or Subsidiary configuration still references this station before deactivating it, to avoid processing downtime or data loss.
Production settings
These settings define the connection used only by the production environment. ZoneCapture encrypts the data you enter, and it becomes unreadable to other users after you save the record.
Basware (shown when API Provider = Basware)
- Production Basware Username (receiving): Enter the username for the receiving connection. Request this value through our support department.
- Production Basware Password (receiving): Enter the password for the receiving connection. Request this value through our support department.
- Production Basware Username (sending): Enter the username for the sending connection. Request this value through our support department.
- Production Basware Password (sending): Enter the password for the sending connection. Request this value through our support department.
Ecosio (shown when API Provider = Ecosio)
When you set the API Provider to Ecosio, the record shows the following fields for the production environment:
- Production User ID: Part of the connection credentials for Ecosio.
- Production User Key: Part of the connection credentials for Ecosio.
- Production Connector UUID: The identifier of the Ecosio connector.
- Production Ecosio Parent Company UUID: The identifier of the parent company in the Ecosio portal.
- Production E-Invoice Direction: Defines whether this station handles Inbound, Outbound, or Both directions.
- Production Approval Status: Indicates whether Ecosio has approved the connection.
Tip: You do not need to enter these values manually. Use Generate Credentials instead — see the "Generate credentials (Ecosio)" section below.
Sandbox settings
These settings define the connection used only by the sandbox environment. You can only test in sandbox between other sandbox accounts from the E-Document provider, so you cannot send documents outside the sandbox environment from the E-Document provider. ZoneCapture encrypts the data you enter, and it becomes unreadable to other users after you save the record.
Basware (shown when API Provider = Basware)
- Sandbox Basware Username (receiving): Enter the username for the receiving connection. Request this value through our support department.
- Sandbox Basware Password (receiving): Enter the password for the receiving connection. Request this value through our support department.
- Sandbox Basware Username (sending): Enter the username for the sending connection. Request this value through our support department.
- Sandbox Basware Password (sending): Enter the password for the sending connection. Request this value through our support department.
Ecosio (shown when API Provider = Ecosio)
When you set the API Provider to Ecosio, the record shows the following fields for the sandbox environment:
- Sandbox User ID: Part of the connection credentials for Ecosio.
- Sandbox User Key: Part of the connection credentials for Ecosio.
- Sandbox Connector UUID: The identifier of the Ecosio connector.
- Sandbox Ecosio Parent Company UUID: The identifier of the parent company in the Ecosio portal.
- Sandbox E-Invoice Direction: Defines whether this station handles Inbound, Outbound, or Both directions.
- Sandbox Approval Status: Indicates whether Ecosio has approved the connection.
Tip: You do not need to enter these values manually. Use Generate Credentials instead — see the "Generate credentials (Ecosio)" section below.
Important: Multiple sandboxes — In many cases, you populate a sandbox with data by refreshing it from the live environment. When multiple sandboxes connect to the same live environment, they all try to use the same connection, which can produce incorrect test results during a regression test. Manually remove the data in sandbox accounts where testing is not ongoing. If you need to run tests in different sandbox accounts at the same time, contact our support team for assistance.
Generate credentials (Ecosio)
For Ecosio stations, you can generate credentials automatically instead of entering them by hand. The Generate Credentials button is not visible when you first create the record.
- Select Ecosio as the API Provider, and save the record.
- Open the saved record in Edit mode. The Generate Credentials button now appears.
- Click Generate Credentials. ZoneCapture automatically populates the User ID, User Key, Connector UUID, and Ecosio Parent Company UUID fields.
Tip: Approval wait time — After you generate credentials, Ecosio must approve the connection before the station can send or receive documents. Approval can take from a few hours to several days, and the Approval Status field updates automatically once Ecosio completes its review.
Important: Because Ecosio generates credentials separately for sandbox and production environments, you must retrieve sandbox credentials again after a sandbox refresh. Update both the E-Document Station record and the Subsidiary E-Document Configuration record.
Release preview settings
These settings define the connection used only by the release preview environment. ZoneCapture does not provide a release preview account by default; you can only provision one on request. ZoneCapture encrypts the data you enter, and it becomes unreadable to other users after you save the record.
Tip: Release preview connection storage — When you provision a release preview connection on request, update both the release preview account and your live environment. This way, when a new release preview account becomes available, ZoneCapture copies the data automatically.
